Role Overview

The Volunteer Coordinator builds and manages BlackFemaleProject's volunteer program from the ground up. This role refines existing processes, creates the infrastructure needed to run a sustainable program, and determines what the organization should prioritize as the volunteer base grows. Ongoing responsibilities include: recruitment, onboarding, scheduling, placement, retention and recognition of volunteers. 

In addition to traditional volunteer roles, this position will help us build out our operations and program support volunteer team, recruiting and managing volunteers to support project-based marketing, communications, outreach, donor engagement, and more on an ongoing basis.

Responsibilities

Program Infrastructure

  • Assess current volunteer processes and identify gaps

  • Design and build systems for recruitment, onboarding, scheduling, and tracking (database or CRM setup, intake forms, onboarding materials)

  • Establish policies and procedures for volunteer engagement, including role definitions and expectations

  • Consult with leadership to establish priorities and to design a plan

  • Develop a volunteer staffing plan that outlines role needs, capacity, and timelines across programs

  • Determine priorities for volunteer needs based on program demands and organizational capacity

  • Create a scalable framework that can grow with the organization

Ongoing Program Management

  • Recruit volunteers through community partnerships, social media, and referral networks

  • Screen and onboard new volunteers, including orientation to BlackFemaleProject's mission and programs

  • Match volunteers to roles based on skills and program needs

  • Maintain a volunteer database with contact information, availability, and hours served

  • Schedule volunteers for events, program support, and administrative tasks

  • Serve as the primary point of contact for volunteer questions

  • Track volunteer hours and prepare periodic reports for leadership to inform grant writing and reporting

  • Develop and implement volunteer recognition efforts

  • Host annual volunteer appreciation activities/events

  • Support retention through regular check-ins and feedback loops with volunteers and leadership

Qualifications

  • Experience in volunteer management, HR, or community organizing preferred

  • Experience building programs or systems from limited existing infrastructure

  • Strong organizational and communication skills

  • Comfort with basic database or spreadsheet tools (Google Sheets, Airtable, or similar)

  • Sound judgment for setting priorities with limited direction

  • Alignment with BlackFemaleProject's mission and values

  • Demonstrated experience working with diverse populations, with particular understanding of Black women's professional experiences. 

  • Reliable availability for the agreed time commitment
